Board Meeting

Dear Cedarfield Plantation Community,

We will hold our monthly Board of Directors meeting at Cedarfield Management facility. All community members are encouraged to join starting at 6:30 pm EST via Google Meet with the details below:

Agenda for this meeting will be as follows:

General

  • Discussion on CMG contractual terms for C1 inspections and billing

  • 1099s for Swim Team coaches

  • Discussion on sponsoring sports team such as Sharks

  • Legal input on CapCon $22 issue?

  • Does monthly Admin Breakdown link to full report? 

  • What invoices go to Board for approval?  Did that $1375 error really come back to C1?

  • Invite HPD officer to attend in-person April meeting? 

  • Discussion on rental cap amendment for C1

  • Feb Financials

  • Budget Overview YTD

Social

  • Easter Egg Hunt April 1st- C1 & C2 combined event- there is ONE drop off location this year for the pre-filled eggs- we ask for 1 dozen pre-filled eggs per kiddo participating to be donated (no-chocolate please, it melts!) and please label with an age group (0-3yrs, 4-7yrs, 8-12 yrs and 13 yrs & older) 

  • Deadline is MARCH 30TH: 12523 MOORES MILL ROAD HUNTERSVILLE

  • Spring Community Yard Sale- (C1 & C2) April 22 - 8am until 12 noon

Architecture

  • Two installed fences identified as non-compliant and not ARC approved will be advanced through the violations process

  • Board to finalize violations process, communication and determine what can be enforced by HOA governing documents.  Discussion on inspection checklist vs. HOA Life generics

  • Violation committee seeking volunteers

Violations

  • Nothing new at this time

Landscaping

  • Tree installation project update along Stratton Farm

  • Issues with irrigation and possible leak under homeowner driveway will be addressed with Krista [Superior Landscape] -HOA VP will follow up

  • Trees down along McCoy - HOA Secretary to follow up

  • Need to verify all water meters’ location, map them, ensure accuracy

  • Update on leaning/browning trees Stratton MAL

  • Irrigation Repairs- previously discussed- up for discussion MAL

Pool

  • Pool committee and board will review the current rules and regulations and update as needed

    • Loss of pool privileges for major abuse of pool regulations

    • Loss of pool privileges for failure to pay 2023 dues in full by June 1st

    • Pool fobs will not be sent for accounts overdue from 2022 and earlier

  • Pool signage will be updated to reflect new rules and regulations

    • Should have specific wording to address large trucks

Technology

  • Confirmation of Volunteer Committee member onboardings

  • Sharing of Responsibilities

  • Pending meeting with past board members to transfer knowledge/rights for pool security system

  • Can we review fob scanning data to determine unique pool users in 2022?

  • Announcement of Violations Committee availability
